Long-Term Care Pharmacy Cycle Runs
Master orders from one pharmacy pickup to many facilities, with location-specific photo evidence at every stop. Dispatch answers 24/7.
A long-term care pharmacy rarely makes one delivery to one address. A cycle fill can be a single master order that leaves the pharmacy and touches many facilities, and every one of those facilities needs its own answer to the question: what arrived here, and when?
That distinction is what separates a pharmacy cycle run from ordinary courier work, and it is what our order workflow is built for.
The Problem With One Record for the Whole Route
On a shared master order, the common failure is a route that produces one confirmation at the end of the run. It satisfies the courier's paperwork. It does nothing for the pharmacy when a facility says a tote never arrived.
Each destination on our master orders is completed separately, with photo evidence captured at that specific facility. A single handoff never completes every address. Those location-specific records are brought together in one combined proof-of-delivery document for the order, which authorized staff can download from the client portal.
What a Cycle Run Looks Like
- Master order intake. One order number, one pharmacy pickup and one route, with every facility destination listed on it.
- Route planning. Facility order and delivery windows are agreed during setup, which is why a route is reviewed before it is accepted.
- Per-location evidence. A photo at each facility, recorded against that destination.
- Secure returns. Return items coming back from facilities are coordinated as agreed and recorded with photo evidence when handed back to the pharmacy.
- Billing. Billing follows the completed order and your agreed pricing, with invoices and billing history in the portal.
- Portal visibility. Live status for active orders, the downloadable combined proof of delivery and billing history for authorized staff.
What to Agree Before the First Run
Cycle work runs on predictability, so the setup conversation matters more than the first route:
- Which facilities, in what order, and what delivery window each one will accept
- Whether returns are part of the run, and how they are packaged and handled
- Who at your pharmacy is authorized to request changes, and how late a change can be made
- Who receives at each facility, and any access instructions for the courier
- How your finance team wants to review invoices against completed orders
That is the onboarding, and it is why a route is reviewed before it runs. Keep patient and prescription details out of the public inquiry form.
24/7, Including Runs That Start at 2 a.m.
Cycle fills are mostly scheduled; facility needs are not. Dispatch answers at any hour, so a STAT request for a facility that needs something overnight is a call, not a wait until morning: (313) 978-0496. See the 24/7 STAT medical courier page.
